Chapter 11: Adder Management
Warning: This page has not been updated to iVia version 5.
In addition to overseeing the editorial control system, Coordinators are often asked to manage the Adders at their institution. This chapter discusses the Adder management functions, available through the optional Adder and Institution Management section of the Adders' Homepage.
Types of Adder
There are six Adder types, listed here in order of increasing responsibility. Each has an equivalent title, and though this can vary within certain bounds.
| Name | Title | Description |
|---|---|---|
| Student | Student | These adders are students in a classroom situation. They can create new records, but cannot edit records from the live database. |
| Instructor | Instructor | These adders are instructors of classes of students. They can create new records (for demonstration purposes), and create and delete new student adders. |
| Contributor | Contributor | These adders are junior librarians (i.e. they are equivalent to lii.org Indexers). They are primarily resource gatherers, and can create new records and edit existing ones, but their work must always be reviewed. |
| Editor | Assistant Editor |
These adders are senior librarians. They have two roles: gathering resources and reviewing records added by other librarians. Some Editors will have access to perform updates to the live database, and some will have access to delete records from the record_info database. Sometimes Editors are not qualified to assign LCSH; in this case their work will be reviewed by Catalogers (see below). |
| Cataloger | Assistant Editor (Cataloging) |
These are Editors who are qualified to assign LCSH, and specialize at assigning LCSH metadata to the records created by other adders. Institutions who do not distinguish between adders who are qualified to assign LCSH and those who are not can simplify the editorial process by having Editors but not Catalogers. |
| Coordinator | Managing editor | These adders fulfil senior editorial and administrative roles, and will not be required at many campuses (i.e. they are equivalent to Karen at lii.org and Margaret, Steve and Julie at iVia). Their main role will be to review the final records produced by the Catalogers and Editors, though they will also be able to create new resources and review records added by less senior adders. They will be able to perform updates to the record_info database and to access the User Management functions. |
View adders
Figure 9.2. shows the View Adders page, which presents a list of the Adders from the Coordinator’s institution, with a brief summary of their information. (Coordinators from the main institution have the option of viewing other institutions.)

Adders can be deleted by locating them in the list, checking their Tag for deletion check box, and clicking on the Delete tagged users button. Deleted Adders can be restored using the Restore Adders tool in the Coordinators Toolbox menu.
Adder details can be updated by clicking on the Edit user account next to their details. This brings up an Account Preferences page liked the one in Figure 9.3.

Access options
Each adder will have a type (from the six listed above) and may have additional permissions, controlled through the following "access fields". All are disabled by default. The fields are:

|---|---|---|---|
| Add to live database | add_to_record_info | This gives the adder the ability to add new records to the live record_info database. | Coordinators and Editors |
| Edit live database | edit_record_info | This gives the adder the ability to make changes to existing records in the live record_info database. It also controls access the the "URL Maintenance" page. | Coordinators and Editors |
| Delete from live database | delete_from_record_info | This gives the adder the ability to delete records from the record_info database. (Deleted records are moved to the pending database, and can be recovered.) | Editors and Contributors |
| Edit MyI Categories | my_infomine | This gives the adder the ability to create new MyI Categories. | Coordinators, Editors, Contributors and Instructors |
| Reset Owner Access | reset_owner | This gives the ability to "release" another adder’s claim on a record (by clearing the owner field), making it available for other adders to claim. | Coordinators, Editors and Instructors |
| Adder Management | adder_management | This gives the adder the ability to create, edit and delete adders (from their institution) and to view adder statistics. | Coordinators, Editors and Instructors |
| Institution Management | institution_management | This gives the adder the ability to add new institutions. | Coordinators |
| Batch Jobs | batch_jobs | This gives the adder access to the batch import and delete programs. | Coordinators |
Permissions available to Editors are also available to Catalogers though these are specialist adders and should not usually require extra access.
